Check the final version before you submit

Most version mistakes happen when a correct document exists but the wrong copy is selected. A final check should therefore examine the submission set itself, not the busy folder where the application was assembled. Treat the clean folder as the exact handoff package.

Short answer

Create a clean folder containing only the files you intend to submit, then open every item from that folder. Compare names, dates and key details with the application. Remove obsolete copies before uploading anything.

Turn this guide into a clear application pack

Create a private, structured rental application file when you are ready.

  • Prepare a structured rental application PDF with RentFiles.
  • Fill your application before you choose whether to pay for a PDF export.
  • RentFiles helps organise the file; the agent or landlord decides the application outcome.

Working checklist

Open every final file

Do not trust thumbnails or file names alone. Open each document and confirm that it is readable, complete and associated with the right applicant. Check multi page files from first page to last. Look for blank scans, cropped edges and password prompts. A file that opened yesterday may not be the copy now sitting in the final folder.

Action plan

Cross check changing details

Focus on details most likely to change during preparation: contact information, employment status, dates, property address and applicant order. Compare them across the form, cover note and attachments. If you correct a source file, export it again and replace the old final copy immediately. Do not leave both versions available for upload.

Useful context

Build a clean submission set

Copy the chosen application and attachments into a new folder. Do not include research notes, source scans that are no longer needed or earlier exports. Count the files and compare them with the recipient request. If a portal requires separate uploads, keep the same clean set and upload from it in the order you have checked.

Keep in view

Freeze the checked version

After the review, stop editing inside the submission folder. If another change is necessary, replace the affected file and repeat the checks for that file plus any document that refers to it. Record the time of the final check in private preparation notes. This creates a clear boundary between working material and what was actually sent.

The final version check is complete only when every file in the submission set has been opened and matched to the application. Keep that set clean until the handoff is finished.

Practical example

Minimise the final package

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

A renter notices that the cover note names an older phone number even though the form is current. They update the note, export a fresh PDF, delete the old PDF from the submission folder and reopen the replacement before uploading.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Why open files again after finishing the application?

Export, download and upload preparation can introduce the wrong version or an unreadable file. Opening the exact final copy proves what you are about to send.

Should working notes stay with the final application files?

No. Keep drafts and working notes outside the clean submission folder so they cannot be selected accidentally or shared with the recipient.
