Make every scanned application document readable

A file can open successfully and still be unusable. Shadows, clipped edges, faint text and mixed orientation often become obvious only in the final PDF. Review the scan itself, not the paper original that you already know how to read.

Test text at normal zoom

View the scan at the size a recipient is likely to use. Text that becomes readable only after extreme zoom needs a better capture. Check faint grey print, handwriting and stamps separately. Prefer an even, well lit image over aggressive filters that erase detail. Confirm that compression has not turned small text into blocks or streaks.

For a multi page record, compare the visible page numbers, dates and headings with the original. Keep pages in reading order and avoid mixing one page from an older version. If a document contains an intentional blank page, decide whether it preserves context. Accidental blanks and duplicate captures should be removed before the files are combined.

Inspect all four edges

Look at the top, bottom and both sides of every page. Names, dates, totals, signatures and headings must not disappear into a crop. Remove fingers, desk clutter and unrelated pages from the frame. If the source has information on both sides, capture both sides in the correct order and confirm that nothing was skipped.

Review the combined result

Merge or upload from the checked copies, then open the resulting file again. The conversion step can rotate, resize or omit a page even when each source scan was sound. Scroll continuously and check transitions between documents. A clean final view is the proof that the recipient can use the material you prepared.

Readability is a page by page property, not a file name or format. Check the exact final copy and quarantine any document that still cannot be read comfortably.

It can be usable when the full page is flat, evenly lit and readable. Check the recipient instructions and convert the image only if the resulting file preserves the detail.
