Queensland identity copy boundary: a controlled file decision

Identity requests describe different actions, and a Queensland applicant needs to know whether the recipient wants sighting, a copy or an upload. The guide keeps those actions separate from exposed document details.

Short answer

For a Queensland identity request, separate the act of showing a document from the act of leaving a copy behind. Read the wording for the channel, document type and field requested, then record which of those steps the applicant can actually complete. A photo of an identity document, an entered detail and an in-person sighting are different actions. Where the request does not make that distinction, ask the recipient which action and format they need before sending extra identity material.

Turn this guide into a clear application pack

Organise your own identity notes by requested action and property, while leaving the recipient’s acceptance decision with them.

  • Prepare a structured rental application PDF with RentFiles.
  • Fill your application before you choose whether to pay for a PDF export.
  • RentFiles helps organise the file; the agent or landlord decides the application outcome.

Working checklist

Read the identity request as separate actions

A passport image, a driver licence image and a proof-of-address record do not do the same job. Compare the recipient’s wording against the visible fields on the proposed document before copying it. If a request asks for a sighting, an uploaded image may be premature; if it asks for a copy, a verbal description is not an equivalent response. Keep the unanswered channel question visible instead of resolving it by disclosure.

Action plan

Prepare the smallest identity response that fits the channel

Store the original document separately from any prepared copy. Give the prepared file a neutral property-and-purpose name, then check that an image does not include an unnecessary number, barcode or background record. Where more than one identity item is proposed, write the separate fact each item would show. That explanation exposes duplication early and makes it easier to remove an item that adds no stated purpose.

Useful context

Separate sighting, upload and retention

Begin with an action table rather than a document pile. One row can say “show”, “upload”, “enter” or “certify”; another can identify the document proposed; a third can note any field the request actually names. This makes it clear whether an identity image is being prepared for a portal, retained for a later viewing or merely used to check an entered detail. It also prevents a broad label such as “ID” from silently expanding the material supplied.

Keep in view

Leave an explicit record of the identity step taken

Close the note by stating what was prepared, what was deliberately not sent and which instruction remains unresolved. This is a file-management boundary, not a statement that an identity check has occurred or that any recipient will accept the material.

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

In Queensland, an application request is limited to listed information and supporting-document categories.

This record distinguishes preparation from a recipient’s identity process. It does not verify identity, authorise retention of a copy or tell the recipient how to run a check.

Practical example

Look for numbers and images that exceed the request

Review the file as an image, not just as a list of documents. Cropped edges, reflections, machine-readable zones and background pages can reveal more than the request describes. Do not guess that a blurred or partly obscured field will be accepted. Instead, note the field that creates the concern and ask whether the recipient needs the original shown, a different document, or a particular copy format.

Questions

Common questions

Clear answers for the decisions people usually pause on.

How can I tell whether a recipient wants to see ID or keep a copy?

Look for the action word in the request. If it only says “identity”, ask whether the document should be shown, uploaded, entered into a field or handled another way.

Should I add a second identity document just in case?

Only add it when it addresses a different stated fact. A second image can expose another number or address without resolving the missing instruction.
