Situation playbookQueensland applications: three distinctions that matter
The form, the way it is submitted and the way information is retained are separate parts of Queensland's application guidance. Mixing them creates avoidable confusion.

Short answer
Queensland guidance distinguishes compliant standardised forms, submission methods, category-specific document maxima and separate retention triggers. It also separates sighting identity from retaining a copy and does not prohibit every online platform.

Useful context
Identify the form process first
State guidance: QLD. Each rule applies only to the state named.
In Queensland, property managers and owners must use Form 22 or R22, or a compliant version of the relevant standardised application form.
Application process · Checked
Keep the relevant-lessor exemptions in view when reading that requirement. This article summarises the selected RTA guidance; it does not decide whether a particular recipient falls within an exemption.
A presentation document and a compliant application form do different jobs. The existence of a supporting PDF does not establish that the required process has been completed.
Useful context
Submission choices are not document counts
State guidance: QLD. Each rule applies only to the state named.
In Queensland, applicants must have at least two different submission methods, including one that is not restrictive.
Application process · Checked
In Queensland, online third-party rental application platforms are not prohibited, although they may be a restrictive submission method.
Application process · Checked
In Queensland, managers and owners can request up to two supporting documents from each of the identity, financial ability and suitability categories.
Application process · Checked
In Queensland, applicants without regular income may provide other financial evidence, such as past payslips, proof of savings or assets.
Application process · Checked
The two kinds of "two" answer different questions: how an applicant can submit, and how many supporting documents may be requested in a category. Neither should be converted into a requirement to send every possible document. Voluntary extra material remains a separate choice, without an acceptance promise.

Useful context
Seeing identity is different from keeping a copy
State guidance: QLD. Each rule applies only to the state named.
In Queensland, retaining a copy of an identity document seen in person requires the applicant's consent.
Application process · Checked
In Queensland, notes from an identity document seen in person should contain only information reasonably necessary to assess suitability.
Application process · Checked
The selected guidance distinguishes a copy from a physical or digital note. Do not turn the copy-consent rule into a claim that no notes may be made, or use the ability to make a note as permission to record unlimited detail. Keep the specific action clear.
Useful context
Start each retention clock at its own event
State guidance: QLD. Each rule applies only to the state named.
In Queensland, unsuccessful-applicant information must be destroyed within three months after the successful tenancy starts.
In Queensland, the seven-year destruction rule after a tenancy ends applies to agreements active on or beginning after 1 May 2025.
Those triggers are different. The unsuccessful application date is not substituted for the successful tenancy's start. Likewise, the tenancy-end rule is not described as an instruction to delete every historical record immediately. A date calculation first needs the correct event and scope.
Keep in view
Use the distinctions within the actual process
This guidance was checked on 10 October 2026. It does not show how a particular organisation implemented its process or whether a retained record has actually been destroyed. Those are separate factual questions.
The linked Queensland planning guide focuses on an actual request, and the identity-boundary guide explores sighting versus sending a copy. A supporting profile does not control a recipient's retention practices or create an exemption from its required application form.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Does Queensland prohibit every online third-party application portal?
State guidance: QLDThe selected guidance does not prohibit them as a category. It distinguishes restrictive methods and the requirement to offer at least one non-restrictive submission option.
Do unsuccessful applicants and ended tenancies share one deletion trigger?
State guidance: QLDNo. The selected rules use different events and scopes. Keep the successful tenancy's start separate from the end of an agreement covered by the tenancy-end rule.
Does a two-document maximum require me to send two?
State guidance: QLDA maximum is not a compulsory minimum. Keep each category and the recipient's actual request separate, without assuming that extra documents guarantee a better outcome.
