Student funding source register
Document workspaceHow to organise student income evidence for an Australian rental application
Student status, enrolment and available funds are different facts and should not be blended into one claim.

Short answer
Start with the recipient's exact income or funding request. Build separate rows for paid work, scholarship or stipend, government payment, family support, savings and guarantor material only where relevant and requested. For each row record the owner, source type, covered period, amount basis as displayed, payment status and next known change. Keep enrolment evidence separate because study status does not itself prove income.

Working checklist
Build a student funding source register
For each selected source, record owner, issuer, source type, issue date, covered period, amount and frequency exactly as displayed, received or future status, expiry or next change, and file label. Add 'not stated' instead of calculating a missing frequency.
Where the source belongs to a supporter or guarantor, keep it outside the applicant's row and follow the recipient's consent and submission instructions.
Action plan
Distinguish current, historic and future support: Example: study, casual work and a scholarship
A scholarship letter may cover a defined term; casual work records completed pay periods; savings show a point-in-time balance; a family promise may be conditional. Label each on its own basis. Do not convert these into a guaranteed monthly amount or decide whether they are sufficient.
For a source that changes mid-term, split the register into two periods rather than overwriting the first. This preserves which statement supported which dates and prevents an expired award from appearing current.
A fictional student has an enrolment confirmation for the academic year, pay records from casual work, and a scholarship letter covering one semester. The register lists three sources with different periods and does not count the enrolment record as money.
A possible family guarantor is marked as a separate unanswered route until the recipient provides its process and the other person agrees to participate.
Key points
Prepare the applicant-entered PDF
RentFiles lets the applicant fill their details and prepare a structured application PDF before payment. It does not connect to banks, verify enrolment or funding, collect guarantor consent, calculate affordability or guarantee acceptance.
Useful context
Split the request into evidence categories
Write separate headings for enrolment, current paid work, recurring funding, one-off funds, savings and guarantor information. Remove categories that are not relevant or requested. This prevents a student card, offer of support or account balance from being treated as the same kind of evidence.
- enrolment evidence: A record of study status or course dates; it is not automatically an income record.
- funding source: A stated source supporting the applicant, recorded with its owner, period and status.
- guarantor material: Information belonging to another person and handled only through the requested process and their permission.
Keep in view
Protect third-party and financial information: Avoid turning organisation into an assessment
Financial and guarantor records may expose account numbers, unrelated transactions and another person's data. OAIC tenancy guidance supports keeping collection and disclosure tied to the rental assessment purpose. Ask why a field is needed and follow the exact request.
This guide does not decide affordability, verify funds, state what every Australian agent accepts, rank evidence types or promise a result. State, territory and recipient processes differ, and the recipient must identify its requirements.
A longer register is not inherently stronger. Remove duplicate rows, keep unsupported future support clearly labelled, and ask a direct question when the requested period or evidence owner is unclear.
Provide information relevant to the recipient's application process and handle identity or financial material carefully.
Questions
Common questions
Clear answers for the decisions people usually pause on.
Does proof of enrolment count as income evidence?
It proves study information, not income by itself. Keep it in a separate category and follow the recipient's request.
How should savings appear in the register?
Label the account owner, statement date and point-in-time nature without presenting the balance as recurring income.
Can I include family support?
Only describe the actual arrangement and follow the requested consent and evidence process. Keep another person's data separate.
What if casual work varies each pay period?
Show the actual requested periods and frequency. Do not smooth the values into a guaranteed amount.
What if a scholarship ends during the proposed tenancy?
Record its covered period and end date, then leave future funding as an open question rather than extending it.
