Document dates checklist

Are my rental application documents up to date?

An issue date, an expiry date and a statement period are different checks. Write down what the record actually shows before deciding whether you need to ask for an update.

Short answer

For each requested document, record its issue date, any displayed expiry date and the period it covers. Compare these with the recipient’s actual instructions. If a date is absent or the requirement is unclear, ask a specific question; do not invent an expiry date or assume one national rule covers every application.

Continue with the Rental application document checklist.

  • Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.
  • Fill your application before you choose whether to pay for a PDF export.
  • RentFiles helps organise the file; the agent or landlord decides the application outcome.

Working checklist

Check four fields on each selected document

Open the actual file instead of relying on its filename. Copy the dates that are visible. Use “not displayed” where the record has no expiry field, and keep that different from a document whose printed expiry date has passed.

  • Issue date: when was this record produced?
  • Displayed expiry date: does the record expressly name one?
  • Covered period: what dates or status does the content describe?
  • Recipient requirement: what current record or period was actually requested?

Action plan

Ask about the exact mismatch

Name the document and the unanswered requirement. “This letter was issued in May and the request asks about my current role” is clearer than calling every older record expired.

If you obtain a replacement, use its actual dates and check that you selected it for the outgoing set. Keep broader version tracking in the dedicated application version-control guidance.

Keep in view

Keep the outgoing copy relevant

Office of the Australian Information Commissioner tenancy guidance says that, where the Privacy Act covers a real estate agent, collection must be reasonably necessary for its functions or activities.

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

This source addresses information handling. It does not establish a national document-age limit or renew an expired identity document. Confirm the relevant request before sharing extra records.

Practical example

Filled example: different dates need different questions

Fictional example only: the documents, dates and recipient requests below are invented. None creates a legal validity period or a rule that every agent must follow. Example review date: 11 October 2026.

  • Example ID card | Issued 15 June 2021 | Printed expiry 15 June 2026 | Example request: current ID | Printed expiry is before the example review date; ask which current document is suitable.
  • Example bank statement | Issued 2 October 2026 | No expiry displayed | Covers 1 to 30 September 2026 | Example request: September statement | Check the covered month, not an invented expiry.
  • Example employment letter | Issued 12 May 2026 | No expiry displayed | Describes employment on that date | Example request: confirm current role | Ask whether updated confirmation is needed; the issue date alone does not answer that question.

Practical example

Copyable question about an older or expired record

Use only the date fields relevant to your question. Do not change dates printed on the source document.

Subject: Document date clarification for [property address] Hello [name], Your request asks for [document or covered period]. The record I hold was issued on [date], covers [period or status stated], and [shows an expiry date of date / has no expiry date displayed]. Please confirm whether it meets this request or which current alternative you need. I am checking this before sending a document that may not answer the question. Kind regards, [applicant name]

Questions

Common questions

Clear answers for the decisions people usually pause on.

Is a document expired if no expiry date is printed?

Do not invent an expiry date. Record the issue date and covered period, then check the recipient’s actual request for current information.

Do all rental documents have to be less than three months old?

This guide sets no blanket age limit. Follow the actual request for the property and ask about any unclear document or period.

What should I do if my ID has a printed expiry date in the past?

State the date accurately and ask which current identity document is suitable. Do not alter the record or assume the recipient will accept it.
