Situation playbook

Change your contact details after applying for a rental

A new contact detail helps only when the right recipient knows to use it.

Short answer

Identify which active applications contain the old email or phone number. Use each recipient's confirmed update route, state the new detail and when it takes effect, and ask for acknowledgement. Record which applications have been updated; a message sent is not proof the recipient changed its record.

Turn this guide into a clear application pack

Create a personal rental profile PDF from details you have checked. Use it alongside the required process and notify earlier recipients separately. Fill before deciding whether to pay for export.

Continue with the Rental cover letter guide.

  • Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.
  • Fill your application before you choose whether to pay for a PDF export.
  • RentFiles helps organise the file; the agent or landlord decides the application outcome.

Keep in view

Send the correction, not a fresh bundle of documents

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

Keep the notice tied to the affected contact field and application. Do not attach identity or financial records just to make the email look more official; follow any specific verification request through a checked route.

Retain a private note of the notice and any acknowledgement. The separate application-version-control guide covers changes to full application copies; this page only addresses a contact-detail correction.

Useful context

Find the applications that contain the old detail

Start with the applications you actually submitted. Note the property label, recipient, application reference and the email or phone number you used. Include a relevant portal contact field when you know it contains that old detail.

Updating your reusable profile helps future copies, but it does not prove that earlier recipients have updated theirs. Conversely, one recipient's acknowledgement does not settle every other application.

Working checklist

Check the change notice before sending

Use a contact route already confirmed for the property. If you cannot access the old email or the account linked to it, ask the recipient how it wants to confirm the change; do not bypass an account or identity check.

  • Identify the property and application reference rather than emailing an unexplained new address.
  • State which field changes: email, phone or both.
  • Give the replacement detail and the actual effective date.
  • Say whether the old route remains accessible, if that affects replies.
  • Ask how the recipient will confirm that its record has been updated.
  • Keep the status as “notice sent” until an acknowledgement or observable update supports a stronger status.

Practical example

Fictional example: one new email, three applications

Jordan, the property labels and addresses here are fictional. The old address is jordan.old@example.com; the new address is jordan.current@example.com, to be used from 12 October 2026. Both use the reserved example.com domain.

  • Property A: submitted on 8 October using the old address; notice sent through the confirmed property contact; acknowledgement not yet received.
  • Property B: submitted on 9 October through a portal; Jordan checks the recipient's instructions for changing the contact field and asks whether any extra notice is needed.
  • Property C: not yet submitted; Jordan checks that the draft uses the new address before sending it. No correction to a sent application is claimed.
  • Working profile: updated for future copies; kept separate from the record of which earlier recipients have acknowledged the change.

Practical example

Copy and adapt: change an email or phone number

Replace every bracketed field and delete whichever contact type is unchanged.

Subject: Contact detail update: [property reference / application reference]

Hello [recipient name], I submitted an application for [property reference] on [date], with reference [reference if supplied]. Please update my [email address / phone number] from [old detail] to [new detail], effective from [date].

[Choose the accurate sentence: I can still receive messages at the old address until [date]. / I can no longer access the old address.] Please use [new detail] for future communication about this application.

Could you confirm when your record has been updated, or let me know if I should make the change through a different route or complete a verification step? Thank you, [applicant name].

Questions

Common questions

Clear answers for the decisions people usually pause on.

Does updating my profile update applications already sent?

Do not assume it does. Check each recipient's process for earlier submissions and record the actual acknowledgement or visible update.

What if I cannot access my old email?

Say that in the notice and ask the recipient for its verification or update route. Do not try to bypass account protection.

Should I resend all my documents with the new email?

A contact notice can identify the change without another document bundle. Follow any specific, verified request rather than attaching sensitive records automatically.
