Check ownership, date, readability, completeness and unrelated identifiers on every chosen file. Keep an original outside the application workspace and remove superseded duplicates.

Open each file rather than relying on its name or thumbnail. Check for an unintended second page, an older version and a filename that exposes a sensitive value before the item is copied into the application workspace.

Verify the destination and the final export

Open the exported PDF, count the intended sections, inspect the first and last page, and confirm the email address or portal belongs to the current property. A clean export does not remove the applicant's responsibility for the disclosure decision.

Search the final file for old property names, duplicate scans and filenames that expose account numbers or other sensitive values. Correct the working copy, export again and review the replacement rather than assuming the edit carried through.

Keep a private note of the version, recipient and date shared. If a correction is requested, update only the controlled working copy and repeat the destination check before sending a replacement.
