Rental Passport preparation
Applicant playbookRental Passport for FIFO workers: roster and pay periods
A roster answers when you are on site. A pay record answers what a particular payment covers. Keeping those timelines separate helps you explain a FIFO profile without predicting future income.

Short answer
Put the roster, the period covered by each pay record and the payment date on separate lines. Explain only the completed periods evidenced, then add a practical contact window for you and any consenting referee.

Useful context
Name the timeline the reader is looking at
A short FIFO note can resolve a specific ambiguity: a payment received during a week away from site may relate to an earlier period. Show the dates written on your own records before explaining the difference. Do not infer earnings, leave arrangements or entitlements from the roster alone.
Use this original fictional worksheet as an organising example. Its numbers, pay labels and dates are invented for the exercise; they are not typical FIFO earnings, required payslip fields or an interpretation of an employment contract. Every date below is historical.
Practical example
Worked worksheet: two weeks on, one week off
FICTIONAL ROSTER 7 to 20 September 2026: on site, 14 days 21 to 27 September 2026: off roster, 7 days 28 September to 11 October 2026: next on-site period This is the stated roster only; the worksheet makes no inference about what any day earns.
FICTIONAL PAY RECORD A Printed period covered: 7 to 20 September 2026 Printed payment date: 25 September 2026 Line labelled ordinary earnings: A$4,200 Line labelled additional payment: A$600 Printed gross total: A$4,800 Printed net payment: A$3,500
FICTIONAL PAY RECORD B Printed period covered: 21 September to 4 October 2026 Printed payment date: 9 October 2026 Line labelled ordinary earnings: A$2,100 Line labelled additional payment: A$150 Printed gross total: A$2,250 Printed net payment: A$1,750
The second printed period crosses an off-roster week and the next on-site period. The payment dates differ from the period-end dates. These observations explain this invented timeline only. Keep additional lines visible and do not relabel the net payment as gross income.

Practical example
Turn the worksheet into a bounded note
Original fictional profile note: “My stated roster is two weeks on site followed by one week off. The two records supplied cover 7 September to 4 October 2026 and show their own payment dates. I have kept ordinary and additional lines separate. These completed periods describe the records supplied; they are not a forecast of my future income.”
For your own version, replace the dates and use the exact labels on your evidence. If the reason for an additional payment is unclear, ask the issuer and leave it as a question until clarified. Do not multiply a high period into an annual guarantee or smooth away a lower period.
List the source beside each statement: roster supplied, pay record A, pay record B or employer clarification. The wider variable-income guide can help organise further periods; this worksheet’s job is to explain the relationship between the clocks.
Working checklist
Separate home history from contact logistics
Keep the residential-history question connected to where you actually lived. If a site stay needs explanation, label its purpose and dates without quietly replacing your home timeline. Ask the recipient when its form does not fit your circumstances.
Add a brief contact plan with permission. For example: “I can respond after [time and time zone] on [dates]. My nominated employer contact has agreed to answer relevant employment questions through [business channel] during [window].” A roster does not establish a referee’s availability.
- Applicant contact: preferred channel, available window and time zone.
- Employer contact: agreed role, business channel and window confirmed with that person.
- Residential dates: check against your own history and explain any overlap accurately.
- Operational detail: leave out unrelated site access, travel-security or colleague information.

Finish with the request, not a forecast
OAIC’s tenancy guidance limits an agent’s collection to information its work reasonably requires when the Privacy Act covers that agent.

This conditional OAIC guidance does not decide whether every agency is covered or prescribe a universal document list. Clarify what the recipient needs before adding more workplace or financial material.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Can the roster prove my income?
The fictional worksheet uses a roster to explain timing. Your stated earnings must be connected to the relevant records; this guide makes no entitlement or future-income determination.
Should I combine additional payments with ordinary earnings?
Preserve the labels and covered periods on your records. Explain a confirmed additional component separately, and ask the issuer about an unclear line rather than guessing.
What if I am difficult to reach on site?
Give a realistic contact window and time zone. Ask any nominated referee to agree to their own channel and availability before including it.
