Rental Passport Australia
Complete field guideRental passport PDF or link: decide what to share and check the copy
A PDF and a hosted profile answer different practical questions. The PDF fixes a particular version; a link points to information managed by the service that hosts it. Choose around the recipient’s process and the material you actually need to provide.

Short answer
Ask the agent which format and channel they accept. Review a PDF as a dated snapshot. For a hosted link, check who can open it and which controls the service actually provides. Updating or closing a link does not recall copies someone already saved. RentFiles’ documented profile output is a shareable PDF.

Action plan
First ask which format the recipient accepts
Before choosing a technology, identify the next handoff. Are you completing the agency’s platform, answering a specific request, or offering a short personal introduction? A supplemental PDF or link is useful only if it fits that step. Do not substitute it for a required form, and do not assume every agent can open an unfamiliar hosted profile.
Ask about the format before sending private material: “Would you prefer a short supporting PDF, or should I keep everything in the required application?” If a platform has no suitable place for a supporting profile, ask the agency for its accepted process. An email sent or a link delivered is not evidence that the person opened it.
RentFiles produces a personal rental profile PDF. If you are considering another service’s hosted link, check its actual controls and the recipient’s accepted channel.
Useful context
A PDF records a particular version
A PDF attachment is a fixed copy of the file you exported. Review that actual file rather than relying on what the editing screen showed earlier. Check the pages, names, dates, contact details and which supporting information is included. Keep the version you sent with your own notes so that a later question can refer to the same material.
Changing the source profile does not change an attachment in someone else’s inbox. If your phone number, address or employment details change, determine whether the recipient needs a corrected copy and how to supply it. Name the correction clearly. Do not assume a newer filename causes an earlier file to disappear.
A PDF can be saved, forwarded or printed. Treat that possibility as part of deciding what belongs in the file. Avoid unnecessary sensitive identifiers in its title, body and filename. A convenient format does not establish identity verification or an application outcome.

Useful context
A hosted link needs its own access questions
A hosted link points to material controlled by the hosting service. Before using any such service, inspect the actual controls offered for that profile and that recipient. Do not infer privacy from a long URL, an attractive preview, an account sign-in on your side or a padlock showing an HTTPS connection.
Ask whether the recipient needs an account, whether the link can be forwarded, which sections are visible, and whether you can change or close access. If expiry or revocation exists, check what it applies to and what the recipient sees afterward. If a control is absent or unverified, do not describe it as protection you have.
A QR code points a scanner to a destination; it does not create access permission by itself. Check the destination before sharing or printing it. A printed code may keep circulating after your circumstances change. If the destination is a hosted profile, the same access and copy questions still apply.
Useful context
Minimise information before choosing a sharing tool
Where the Privacy Act covers a real estate agent, personal information collected for a tenancy application must be reasonably necessary; the OAIC recommends masking unnecessary details on supplied documents.
Office of the Australian Information Commissioner guidance · Checked
List the purpose of each piece of information you intend to include. Keep the recipient’s permitted request separate from optional narrative. A brief household introduction is not a reason to duplicate identity documents, account numbers or a referee’s private contact details in every version of a profile.
Where a requested document raises a concern, ask which fields are necessary and whether an appropriate redacted version will work. Do not alter a document to misrepresent its contents. Preserve your original privately, and review the selected copy before supplying it. State rules and the required form still govern the actual application.
For references, discuss the proposed contact and purpose with the person first. Do not publish their details in a public sample, social post or broadly accessible profile. Keep a direct agency enquiry about the channel separate from the later exchange of supporting documents.
Practical example
What expiry and corrections cannot undo
Even when a service genuinely closes a link, a recipient may already have downloaded, photographed, printed or forwarded the information. Closing future access does not remotely erase those copies. Use that limit when selecting the content, rather than treating a revoke button as a way to recover every version.
Illustrative workflow: Sam sends a profile, then notices an outdated referee number. Sam checks the agency’s correction process, explains which detail changed and supplies the correct information through that channel. If a replacement PDF is requested, Sam opens it before sending and records which version was supplied. This is an example of document organisation, not a promise that the agency will replace a previous copy.
If you want information removed, contact the relevant service or recipient and ask about its actual process. Do not confuse withdrawing an application, deleting your account, closing a hosted link and deleting information held by another organisation. Each question needs its own answer; this guide does not determine legal retention obligations.
Working checklist
Use one short pre-send checklist
Choose a format after the recipient confirms the channel. If you use a PDF, inspect the file that will leave your device. If you use another provider’s hosted link, test the recipient experience using only a fictional or non-sensitive example and the actual access settings. A test should not expose your private documents to a public browser.
Keep the application status separate from the supporting-profile status. A complete profile may still accompany an application that has not been submitted. A sent attachment may still be unread. A closed link may still have downloaded copies elsewhere. Clear personal notes help you follow up on the real outstanding step.
Return to the Australia guide for the document and state-form context. Use the Snug or realestate.com.au guide when that platform is part of the property’s instructions. The aim is a small, accurate handoff that fits the required process, with no promise that a particular format will influence the outcome.
- Correct recipient and accepted channel.
- Current version and accurate applicant details.
- Only relevant information and permitted requested documents.
- Referee contact discussed; private originals retained.
- Actual file or destination checked before sending.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Does replacing my PDF update the attachment already sent?
No. A replacement PDF is another copy. Follow the recipient’s correction process and identify which detail or version changed; do not assume the earlier attachment has been removed.
Does adding a QR code make my rental profile private?
No. A QR code points to a destination. Privacy depends on the destination, the actual access controls and the information you share, including copies that recipients can retain.
What should I check before relying on an expiring profile link?
Check that the service really provides expiry, who can access the profile before it expires, what happens afterward and whether recipients can save copies. Expiry does not recall information already downloaded.
