Rental Passport preparation

Complete field guide

How property managers can read a Rental Passport

Read a supplementary profile as a map to the applicant’s information. Keep the person’s statement, the document behind it and any check you actually perform in separate fields.

Short answer

Use four labels when reading a Rental Passport: declaration, source reference, open question and independently checked item. Record the scope of each check, then continue through the agency’s required process without treating presentation as verification.

Useful context

Give the supplementary profile a defined place

Start with the property reference, the named applicants and the version received. Record whether the required application has arrived through the usual channel. The supplementary PDF can help locate a statement, but it does not establish that a separate form is complete or that a document has been authenticated.

The original worksheet below is a fictional reading exercise, not an applicant score or a recommendation to adopt a particular assessment policy. Use the agency’s applicable procedures and relevant requirements for the actual application.

Practical example

Worksheet: classify what you have read

FICTIONAL READER’S SHEET: Jamie Noor DECLARATION: Applicant states that two adults would live at the property. Source: profile, household section. SOURCE REFERENCE: Profile names “Pay record A, September” in its document list. Receipt of that separate file is not yet recorded. OPEN QUESTION: Does the monthly summary refer to gross income, net income or a different period? Ask the applicant to clarify the label. INDEPENDENTLY CHECKED ITEM: In this fictional exercise, the reviewer opened the separately received record B and compared its printed period with the profile entry; the dates matched. Scope: date consistency only, not authenticity, employment or income verification.

Give each entry a page or file reference, a date and the person responsible for any follow-up. Leave a check pending until it is actually performed. The last label records an action and its limited result; it should never silently become “applicant verified”.

Action plan

Follow the statement back to its source

Take one income statement at a time. Note the person, the gross/net description and the period exactly as stated. Find the referenced record if it has been received through an accepted channel. Compare like with like before asking a question about a difference.

A missing label is an open question. A file name alone is a source reference. A calculation can check arithmetic but does not establish that a figure is genuine or continuing. Keep those distinctions in the notes so another colleague can see what was reviewed and what remains unresolved.

  1. Statement location: profile page or section and the amount as labelled.
  2. Source location: separately received file and covered period, or “not recorded as received”.
  3. Action: the precise comparison or enquiry actually made, with date and reviewer.
  4. Result and limit: what matched, what differed and what the action did not establish.

Useful context

Use references as sources to approach appropriately

Separate a stated residential timeline from a referee’s response. Record which period the proposed contact can discuss and whether the necessary contact arrangements are in place. A name in a profile is not a completed reference check.

Phrase follow-up questions around the unresolved fact: “Which dates does this entry cover?” or “Which source explains this period?” Avoid turning a gap in a summary into an unsupported conclusion about the applicant. Record any answer in the proper application record with its source.

Keep in view

Ask for relevant information with a clear purpose

OAIC’s tenancy guidance limits an agent’s collection to information its work reasonably requires when the Privacy Act covers that agent.

The coverage condition matters. This guide does not decide the Privacy Act position of a particular agency or supply a national document checklist. Clarify the reason for an additional request and apply the relevant process for the actual jurisdiction.

OAIC advises considering which personal details can be obscured when providing a copy of a government identity document because some details may be unnecessary.

Tenancy | OAIC · Checked

Discuss what is needed before asking for another copy. Do not read this as permission to remove every identifier or alter an original record. The useful question is which information the specific task requires and how it should be supplied.

Key points

Leave a record a colleague can understand

Close the worksheet with three short lines: material received; questions still open; next action and owner. Record the actual status rather than inferring receipt, consent or a completed check from the profile’s appearance. Use the annotated sample to practise the reading method before applying it to a live file.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Does a Rental Passport verify an applicant?

A profile organises information. Record any independent action separately, with its source and limits; do not turn a polished summary into a verification finding.

What if a document is listed but missing?

Mark it as a source reference with receipt unresolved. Check the accepted application channel and ask a focused question about any material actually needed.

Is the worksheet an applicant scoring tool?

No. It classifies statements and review actions. It supplies no suitability score, eligibility threshold or application outcome.
