How to explain dates that do not match across documents

Two genuine documents can show different dates without either being wrong. The useful task is to name what each date represents, decide which record describes the current position and make that sequence visible before the files are uploaded.

Short answer

List the documents side by side, label the event or period represented by each date, and identify the current record in a short note. Do not alter a date or omit an older record merely to make the documents appear identical.

Turn this guide into a clear application pack

Create a private, structured rental application file when you are ready.

  • Prepare a structured rental application PDF with RentFiles.
  • Fill your application before you choose whether to pay for a PDF export.
  • RentFiles helps organise the file; the agent or landlord decides the application outcome.

Useful context

First identify what each date measures

A payslip may show a pay-period end date, an employment letter may use its issue date, and an offer may state a future start date. Write those labels beside the dates before comparing them. A mismatch only becomes confusing when distinct events are presented as though they were the same event.

Working checklist

Choose the record that answers the current question

If the application asks about present employment, the latest document that actually describes the present position should lead. Keep an older item only when it explains continuity or a transition. Name it as historical support so the reader is not left deciding which version you intended to rely on.

Action plan

Write a reconciliation note, not a biography

Use one or two sentences: identify both records, state their periods, then point to the current one. For example, an offer dated 3 June can precede a first payslip covering 17 to 30 June. The note explains the sequence without adding speculation about payroll or the employer.

Practical example

Example: offer letter followed by a payslip

Jordan labels the signed offer as employment-start evidence and the first payslip as income received for a later fortnight. The file names include both dates. A short index says that the payslip is the current income record, while the offer explains when the role began. Nothing is edited to manufacture a match.

Keep in view

Keep unrelated dates and identifiers out

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

A reconciliation note does not need account numbers, transaction history or private correspondence that does not explain the timing. Retain an untouched private copy of every source document before preparing the application version.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Should I remove an older document if its date is different?

Not automatically. Keep it when it explains a transition or a requested period, but label it as earlier material and make the current record unambiguous. Remove it only when it has no role in the application.

What if I cannot explain why the dates differ?

State only what the documents establish, such as their issue dates and covered periods. If the reason is unknown, do not invent one; ask the issuer for clarification or mark the point as unresolved.
