Review document dates before your rental application

A recent file is not automatically useful, and an older file is not automatically obsolete. First decide what each document is supposed to establish. Then check whether its date, covered period and contact details still answer that purpose.

Keep a record that still answers its purpose. Replace it when a current version is available and the old one would misdescribe the present. Mark it historical when it is needed for continuity, such as the final record from a previous role beside the first record from a new one.

Write the job beside every file

A payslip may describe one pay period, a letter may confirm a role on its issue date, and an identity record may have its own expiry field. Define that job before judging currency. Otherwise a single 'older than' rule can remove records that answer different questions.

Jude finds a two-month-old payslip, a current employment letter and an old address record. The payslip remains relevant to its dated period, the employment letter leads for current work, and the address record is replaced because the application asks for the present address. Nothing is discarded solely because another file is newer.
