Find duplicate and superseded files in a portal upload

Duplicate uploads can come from repeated clicks, renamed copies or old versions left in a folder. Review both contents and purpose. Two payslips from different periods are a sequence; the same PDF under two filenames is a duplicate.

Short answer

Group attachments by purpose, compare their contents and covered periods, and classify each as unique, sequential, superseded or exact duplicate. Remove only the files that add no distinct answer, then verify the remaining portal previews.

Working checklist

Distinguish a sequence from repetition

Check pay periods, issue dates, addresses and version markers inside the files. Consecutive records may each be necessary, while two downloads of the same record are not. Label the sequence so the recipient can see why similar documents remain.

Turn this guide into a clear application pack

Create a private, structured rental application file when you are ready.

  • Prepare a structured rental application PDF with RentFiles.
  • Fill your application before you choose whether to pay for a PDF export.
  • RentFiles helps organise the file; the agent or landlord decides the application outcome.

Action plan

Choose the current version deliberately

When two files represent the same purpose and period, keep the readable, checked version and remove the superseded one from the upload set. Recheck any note or index that names the old filename so the final handoff does not point to a missing attachment. Record why any similar-looking pair remains.

Useful context

Start with purpose groups

Place identity, address, income, history and explanatory items into separate review groups. This makes it easier to spot two files competing for the same job. Do not compare unrelated documents merely because their filenames or page counts look alike.

Practical example

Example: three files with two real answers

A portal contains income-july.pdf, payslip-final.pdf and income-august.pdf. The first two are identical July records saved under different names; the third covers August. Jo removes payslip-final.pdf and keeps the two dated periods as a clear sequence.

Keep in view

Run the review in the receiving interface

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

A clean local folder does not prove the portal has the same set. Count and preview the attachments after upload, confirm each requested slot has the intended version and remove any extra file that remained cached or was attached twice.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Are two payslips always duplicates?

No. Compare their covered periods and contents. Different periods can form useful history even when the layout and employer are identical.

Should I keep an old version in the upload folder?

Move superseded copies outside the upload set. Keep them privately only when you need a record of earlier work or when an older period has its own purpose.
