Project, invoice and payment ledger
Applicant playbookHow to prepare a freelancer rental application in Australia
Freelance records are easier to follow when each client project keeps its own work, invoice and payment events instead of disappearing into one unsupported average.

Short answer
Copy the recipient's income request, assign a neutral key to each relevant client or project, and record completed work periods, invoice dates and received payment dates on separate rows. Select only records that answer the requested period, explain genuine timing differences briefly, and keep future projects or unpaid invoices pending. Do not disclose client information merely to make the file look more detailed.

Practical example
Test a three project sequence
Consider three project keys. One has completed work and received payment, one has an issued invoice awaiting payment, and one is only scheduled. The ledger gives each event its actual status. The application note points to the first as completed history, the second as pending payment and the third only as future work when the recipient asked about it.
The example does not name a real client, disclose the service delivered or imply that pending work will proceed. A reader can trace the selected payment to its project key and see why the other two rows are not part of completed receipts. That distinction is the profile's useful contribution.
- Completed project
- Unpaid invoice
- Scheduled project
- Neutral client key
- No projected receipt
Working checklist
Create one source row per project event
For each selected project, record a neutral key, the source file, the period of completed work if shown, the invoice date, the payment date and the displayed amount label. A file may support more than one event, but each table value should still point to the exact source and date meaning used.
Mark an invoice unpaid when the applicant's current records support that status, and keep it outside received payment totals. Mark future commissioned work pending. If a payment combines projects, state that the source is combined rather than allocating values by guess. Leave gaps visible and ask what period the recipient wants clarified.

- Source file
- Event type
- Actual period
- Received or pending status
Action plan
Explain cadence without inventing regularity
Begin with the requested period and the number of relevant project streams, then point to the event ledger. Explain one material timing difference, such as work completed before an invoice or payment received later, only when the sources support it. End with a missing period or format question rather than an estimate.
Avoid combining variable records into a guaranteed monthly amount, describing a repeat client as permanent or presenting an unpaid invoice as income received. If the recipient requests a total or calculation, use their supplied method or ask. The profile should help locate applicant checked facts, not perform an affordability assessment.

Useful context
Define the multi client navigation problem
A freelancer may hold several small records that answer different parts of the same request. Start by separating the client or project identity, the completed work period, the invoice event and the payment event. Use the applicant's own terminology and avoid calling every arrangement a contract when the source does not use that word.
This page does not decide whether the person is self employed, a contractor or another status. It owns the many project sequence only. General income evidence, tax questions and recipient sufficiency sit elsewhere. When one client represents most selected records, keep the ledger structure rather than implying an exclusive or continuing relationship.

- Open status question
Keep in view
Remove client and transaction detail without a purpose
Freelance files can contain customer contacts, confidential work descriptions, account details and unrelated transactions. Check every selected field against the recipient's stated purpose. Ask before altering a requested record, preserve the original and use the neutral project key consistently across the summary and filenames.
The OAIC tenancy source supplies the narrow privacy boundary for this page; it does not prove a freelancer document list or acceptance standard. After the applicant checks the ledger, RentFiles can organise entered details into a structured application PDF before payment. It does not verify projects, predict receipts or submit the application.
Provide information relevant to the recipient's application process and handle identity or financial material carefully.
- Client identity limited
- Service detail limited
- Account fields checked
- Original preserved
- Neutral key consistent

Questions
Common questions
Clear answers for the decisions people usually pause on.
Must every freelance client be named in the application?
No universal rule is asserted here. Start with the recipient's request and ask whether neutral project keys or narrower records answer the stated purpose.
Can an unpaid invoice appear as money already received?
No. Keep the invoice event and received payment event separate. Label unpaid or pending status exactly as supported by the applicant's current records.
Should I turn irregular freelance payments into a monthly average?
Only use a calculation method supplied or confirmed by the recipient. This page preserves actual periods and values rather than inventing regularity.
How should future freelance work appear?
Keep it pending and separate from completed work and received payments. Include it only if the recipient's question makes the future event relevant.
Can RentFiles verify freelance invoices or clients?
No. RentFiles structures applicant entered information into an application PDF. It does not contact clients, verify invoices or decide a rental outcome.
