Short answer
Create a factual profile, review every page, then use the exported PDF alongside the form or platform required for the property. Check the recipient, current details and accepted channel each time. A Rental Passport does not verify your records, submit the application or decide its outcome.

Action plan
Create and review your Rental Passport
Start with the property instructions, then describe who is applying and who would live there. Add your current work and income context, accurate residential dates and appropriate references. Explain a gap or variable income in your own words rather than using a presentation to hide it.
RentFiles guides you through the personal profile and lets you review it before choosing a PDF export. Four presentations arrange the same underlying information in different visual styles. Choose the style that suits you, then inspect the actual preview and check all names, figures and dates. Presentation does not make a statement verified.
Keep your profile and the required application connected but distinct. A saved profile is preparation; a form completed through the recipient's accepted process is a separate step. Ask whether a supporting PDF is useful and where it belongs before sending sensitive information.
A rental resume is your short, reusable introduction. Use it to explain the household and current circumstances without turning the first page into a document archive. A cover letter adds a property-specific sentence or a short explanation that the form does not capture.
The wider Rental Passport gives those facts a consistent home: household, work and income context, residential history and references. The document checklist helps you select the relevant permitted evidence for the particular application. It is not a reason to upload every identity and financial record you hold.
Prepare the part that needs attention first. If you need an About Me paragraph, start with the resume examples. If the property needs a short introduction, use the cover letter guide and editable builder. If a document request is unclear, work through the checklist and official state guidance before adding attachments.
- Read the property instructions and identify each applicant's required steps.
- Create a truthful profile, then choose the presentation.
- Review every page and correct incomplete or outdated details.
- Choose an export and use the recipient's accepted submission channel.
Start with a rental resume and About Me example, organise the documents relevant to your application, then adapt a short property-specific cover letter.
Useful context
Documents, identity and the rules in your state
State guidance: Victoria · Queensland · South Australia · New South Wales. Each rule applies only to the state named.
There is no single Australian rental-passport checklist that overrides state rules or the form in front of you. An identity points scheme requested by one recipient is not proof of a universal national 100-point rule. Ask which permitted document will answer the request before sending a passport, licence and multiple extra copies together.
In Victoria, the prescribed rental application form has applied since 31 March 2026, and only information specified in that form may be requested.
Consumer Affairs Victoria guidance · Checked
In Queensland, covered rental providers must use Form 22 or R22, or a compliant version, and offer at least two submission methods, including one non-restrictive method.
Queensland Residential Tenancies Authority guidance · Checked
In South Australia, Form A1 has applied since 1 January 2026, subject to the exemptions listed by Consumer and Business Services.
Consumer and Business Services South Australia guidance · Checked
In New South Wales, Fair Trading guidance recommends seeing identity documents rather than retaining copies and masking everyday transactions on bank statements; this is guidance, not a national document limit.
NSW Fair Trading guidance · Checked
These summaries identify different procedural starting points; they are not a legal assessment of your application. In WA, ACT, Tasmania and the Northern Territory, start with the current consumer or tenancy authority and the recipient instructions. Do not import the Queensland form or Victorian document rules into another jurisdiction. A Perth or Sydney label does not create a separate local law.
Build a small working checklist with four fields: what is requested, whose document it is, the period it covers, and whether it is ready. Identify missing material before upload. Check names, address history and readability. Keep document numbers out of cover notes and filenames unless the actual process requires them. A supporting profile should not become another archive of identity records.

Turn this guide into a clear application pack
Fill and review your personal rental profile before choosing a PDF export. Use it alongside the process required by the agent or landlord.
- Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.
- Fill your application before you choose whether to pay for a PDF export.
- RentFiles helps organise the file; the agent or landlord decides the application outcome.
Useful context
Show income and household arrangements clearly
Explain the income situation that actually applies, using the evidence the recipient is allowed to request. Keep the person, currency, pay period and source identifiable. Do not describe business turnover as personal take-home income or a single unusually busy week as your usual earnings. A useful explanation resolves a specific mismatch instead of making an unsupported affordability promise.
A couple or family can explain the household together while keeping each applicant and each income source traceable. A proposed housemate is not automatically another leaseholder, and a household total should not conceal whose evidence is missing. Follow the required process for each applicant rather than using one shared profile to stand in for everyone.
- Self-employed, freelance or contract work: distinguish business receipts, expenses and personal income; label the period rather than selecting only strong months.
- Casual, shift, FIFO or multiple jobs: explain the pay cycle or roster and keep each employer separate. State which figures vary.
- New job, probation, apprenticeship or recent graduation: separate a confirmed start date and employment terms from earnings not yet received. Ask how to handle a missing payslip.
- International student or newcomer: distinguish employment income, scholarship funds, savings and parental support. Label overseas currency and contact time zones; do not imply eligibility or guaranteed acceptance.
- Pension, savings or third-party support: describe the source and period honestly. Do not present a support offer as a signed guarantee or assume a guarantor process is available.
- Employment gap: give a brief accurate explanation if relevant and requested. Do not invent work, income or a referee to fill an empty field.
Practical example
No rental history: give an honest, checkable explanation
If you have lived with parents, owned a home, studied in accommodation or recently moved from overseas, describe the arrangement accurately. Do not turn informal accommodation into a tenancy or invent a rental ledger. Ask the recipient which alternative evidence or reference is appropriate. A personal referee is not the same as a previous property manager, and a reference is not identity verification.
For an overseas record, label the address, dates, country and contact method. Explain a genuine name or address change where it would otherwise make the documents confusing. Check that the referee agrees to be contacted, and discuss a suitable contact time. Do not put their private details into a public example or a broadly accessible link.
Illustrative example, not a real applicant or rented property: Alex has recently arrived in Australia, lives with family and has a new casual job. Alex writes: “I am currently living with family and do not have an Australian tenancy ledger. My employment began recently, so the documents show a short earnings period. Please let me know which permitted alternative reference would be useful.” The useful part is the clear limitation, not a claim that this explanation will secure a home.
Working checklist
Share a PDF snapshot and check it before reusing it
Where the Privacy Act covers a real estate agent, personal information collected for a tenancy application must be reasonably necessary; the OAIC recommends masking unnecessary details on supplied documents.
Office of the Australian Information Commissioner guidance · Checked
Open the exported PDF and check every page before sending it. Confirm the property and recipient, household members, work, income periods, residential dates and reference details. Keep private originals separate from the relevant information you intend to supply.
You can reuse an accurate exported PDF for another enquiry or application when the recipient accepts it. A PDF is a snapshot: changing your draft does not update a copy already downloaded, emailed or submitted. Check the current export terms when you need a revised PDF; do not assume that a past purchase includes unlimited new exports.
PDF sharing and hosted access have different boundaries. An attachment can be copied or forwarded and does not expire because you later change the source profile. If you use any service's private link, confirm its access controls, expiry and revocation behaviour separately. A QR code points to a destination; by itself it does not create privacy, verify a profile or make an attachment revocable.
Use the fictional sample only to understand the presentation. Replace every sample detail with your own accurate information. Keep a private version note so that a reused attachment cannot be mistaken for a newer profile.
Review a reusable profile when your circumstances change, not just when a filename looks old. A new role, changed household, different reference contact or new income period can make an otherwise clear PDF inaccurate.
If you have already applied, follow the agency or platform's correction instructions. Explain the changed detail and ask how to supply an updated record. Sending a newer profile is not confirmation that an earlier application was changed or read.
- Household: check who is applying and who would occupy the home.
- Employment and income: recheck sources, dates, periods and any variation.
- History and references: update the chronology and confirm contact details privately.
- Export: open the actual file and check its date or version before sharing.
Action plan
Agency forms, platforms and the final handoff
Complete the actual agency form or platform workflow. The terms rental passport, renter passport and tenant passport do not establish a common accepted format. Ask the agent whether a short supporting profile is useful and where it should go. Never assume that every application has an extra-information upload field or that a link will be opened.
If the property uses 2Apply, ask the agency how it accepts additional material. For Snug and the realestate.com.au Renter Profile, use the platform-specific guides linked below. These explain the distinction between a reusable platform profile and a separate supporting PDF. None establishes a RentFiles integration, partnership or agency endorsement.
A short enquiry can read: “I have prepared a concise personal rental profile to accompany the required application. Is a supporting PDF useful for this property, and which channel should I use?” Do not attach sensitive material to a first enquiry just to ask whether it is wanted. Keep the recipient’s answer with your application notes.
Before sending, check the correct property and recipient, each applicant’s required steps, readable permitted documents, current details and the actual attachment or link. Record whether the application is drafted, submitted, awaiting a response or withdrawn; these states mean different things. For a correction, follow the platform or agency instructions and identify the changed detail. A follow-up message is not confirmation that a correction was applied or a profile was read.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Does a Rental Passport replace the required application?
No. Use the form, platform and submission process applicable to the property. A personal profile is supporting context where the recipient accepts it; it does not override state-specific requirements.
How is a Rental Passport different from a rental resume?
The resume is the short introduction. The Rental Passport presents the wider household, income, residential history and reference context. A property-specific cover letter can add a brief note alongside either one.
Can I reuse my exported PDF?
Reuse it while its information is accurate and the recipient accepts that format. Check the current facts and the actual attachment each time. A later edit does not update a PDF that has already been downloaded or sent.
Does a PDF have link expiry or revocation?
An exported attachment is a copy. It does not become unavailable because you edit the source profile. Confirm any hosted-link access controls with the service providing the link, and check what the recipient accepts.
Does creating the profile complete identity or reference checks?
No. Organising your own information does not verify identity, income, credit or references. Describe any separately completed check accurately and keep it distinct from your own statements.
Can I prepare the profile before choosing an export?
You can fill and review the profile before deciding to export. Check the current pricing and export terms when you want a new PDF. The agent or landlord controls the application process and rental decision.
