Check the confirmations, not another person’s login

Ask each applicant to confirm their own status and the property concerned. If one part is missing, contact the recipient with that specific gap rather than sending everyone’s documents again.

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

Confirm which application each person is joining

Compare the property address and any household reference on the invitation with the intended application. Ask which route applies if those details differ or an invitation is missing.

Each applicant should control their own account and personal submission. A household preparation note can record status without collecting passwords, access codes or copies of private account screens.

Action plan

Copy a question about a separately started draft

Hello [name], We intend to apply together for [property], household reference [reference, if available]. [Applicant] started a separate draft before receiving the household invitation. Could you please confirm which route they should use, how to check that their submitted part belongs to our household, and what should happen to the earlier draft? We have not assumed the records will link automatically. Thank you, [name]

Wait for the specific instruction before changing the earlier draft’s status. A request to link records is not evidence that they have been linked.

Keep these states separate

Use the words shown by the actual service or recipient, then describe only what each applicant can confirm.

Invitation seen: the applicant received the relevant request.
Personal part complete: their answers are ready in that route.
Submitted: they have a submission confirmation for that part.
Household link confirmed: the recipient or service confirms the parts belong together.
Pending: a missing invitation, receipt or linking question still needs an answer.
