A short written confirmation can clarify what was said at an inspection before you choose files or submit anything.

Short answer
Write down the property, who spoke, what they asked for and any stated timing. Send a concise confirmation through an established contact route. Keep your recollection labelled as unconfirmed until the recipient clarifies the request.

Turn this guide into a clear application pack
Organise your introduction while following the recipient’s application instructions. Filling comes before the PDF export choice.
Continue with the Rental Passport guide.
- Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.
- Fill your application before you choose whether to pay for a PDF export.
- RentFiles helps organise the file; the agent or landlord decides the application outcome.

Key points
Carry the answer into the handoff
Once instructions are clear, match each requested item to its source using the request evidence matrix. After submission, keep the separate post-submission record. If nobody replies, retain the uncertainty and use the published process rather than guessing. RentFiles can organise a personal profile alongside that process; it does not submit through the recipient’s portal or determine the decision.
Useful context
Capture the conversation while it is clear
Record the viewing date and property before writing about attachments. Distinguish the person who hosted the inspection from the person who handles applications if you do not know they are the same. A note such as “I heard income information” is more honest than expanding that phrase into a particular document or period that nobody specified.
Action plan
Ask for the missing instruction
Choose the smallest question that lets you proceed. Avoid attaching a bundle of identity or financial records to a clarification email. If the recipient already provides an application link, use those instructions as your starting point and ask only about the remaining ambiguity.
- Check that the contact route matches the listing or other established correspondence.
- Identify the property and viewing in the subject or opening line.
- State your understanding in one sentence, then ask about the unclear channel, item or date.
- Record the answer beside the original note so that you do not continue using both interpretations.
Working checklist
Separate heard, confirmed and unanswered
Use a brief conversation record. This is a practical note for checking your understanding, not proof that a recipient has agreed to accept an application.
- Heard: the words you remember, with the speaker and viewing date.
- Confirmed: an instruction you can refer back to in the listing, form or a direct response.
- Unanswered: a precise question, such as the accepted channel or whether a particular file is relevant.
- Timing: an actual stated date, or “not specified”; do not create a deadline to fill the space.
Keep in view
A clarification is not a request for extra disclosure
The OAIC explains that, where the Privacy Act covers a real estate agent, collection of personal information must be reasonably necessary for its functions or activities.
Provide information relevant to the recipient's application process and handle identity or financial material carefully.
Confirm the recipient and purpose before providing sensitive material. A written reply can clarify an instruction; it does not by itself establish that every requested item is appropriate or legally required. Check current state guidance if the nature of a request concerns you.
Practical example
A confirmation message you can adapt
Fictional example: Leo Tran viewed 7 Alder Lane on 16 October 2026. He remembers a request to apply online but is unsure where to put an employment update. The message illustrates clarification, not an actual agency response.
- Subject: 7 Alder Lane viewing on 16 October: application instructions
- Hello Morgan, thank you for showing me the property today.
- My understanding is that I should use the application link in the listing. Could you confirm whether my employment update belongs in that form or a separate upload?
- I did not note a submission date. Please let me know if there is a stated closing time I should work to.
- Thank you, Leo Tran. No supporting records are attached to this clarification.

Questions
Common questions
Clear answers for the decisions people usually pause on.
What if my confirmation message receives no answer?
Keep the question open. Use instructions that are already clearly published and avoid treating silence as acceptance of your interpretation. A request for receipt after an actual submission belongs in a separate follow-up.
Should I attach records so the agent can answer faster?
For a clarification, a property reference and a precise question may be enough. Do not add sensitive attachments just to demonstrate readiness; first establish what the recipient needs and where it should go.
