How to prepare a rental application reference summary in Australia

A reference summary should explain who can speak to which period and how they may be contacted, without exposing unrelated personal information.

Short answer

Create one row per nominated referee: role or relationship, the period and context they can address, consent status, preferred contact route, likely availability and any limits. Confirm the recipient's question before sharing details. Keep the referee map separate from your chronological rental history, which answers where and when you rented rather than who may be contacted.

Working checklist

Build a purpose-limited referee table

Use columns for neutral referee label, role or relationship, relevant period, property or work context, consent status, preferred contact route, time constraints and open question. Keep the private table secure and place only requested details in the outgoing material.

OAIC guidance notes that tenancy information may be disclosed to a referee nominated by the applicant for the tenancy assessment purpose. That privacy fact does not mean every referee type is required or that a reference will be favourable.

Action plan

Confirm the referee knows the context: Example: two referees with different scopes

Where appropriate, tell the referee which property process their details relate to, what part of the relationship may be discussed and how the recipient might contact them. Check spelling and availability. Do not script an answer or imply that the referee has agreed beyond what they actually confirmed.

A fictional applicant nominates a former property manager for a completed tenancy period and a workplace contact for current employment context. The table gives each a separate purpose and contact route. Neither person is described as able to answer the other's questions.

A personal reference offered by a third contact stays outside the outgoing set because the recipient did not request that role.

Key points

Use RentFiles for applicant-entered information

RentFiles lets the applicant fill their details and prepare a structured application PDF before payment. It does not contact referees, collect their answers, verify relationships, score references or guarantee an application result.

Useful context

Start with the question the reference is meant to answer

Copy the recipient's request into the working notes. Does it ask for a previous property manager, landlord, employer or another role? Do not nominate a person simply because their contact details are available. Match the role and period to the stated purpose.

  • nominated referee: A person the applicant has chosen for a stated reference purpose.
  • reference scope: The period or relationship the referee can address from their own knowledge.
  • contact permission: The applicant's recorded basis for sharing the referee's preferred contact route for this request.

Keep in view

Keep reference and rental history separate: What the summary does not prove

The rental-history summary orders addresses, occupancy periods and gaps. The reference summary maps people, permission and contactability. Linking the two is useful, but combining them can disclose a contact where only a date sequence was requested.

Use a stable pointer between the two private working records, such as a neutral referee label. That lets an applicant correct a phone or availability detail once without rewriting the factual address chronology.

It does not verify identity, guarantee that a referee will respond, predict what they will say, establish tenancy performance or satisfy every state, territory, agent or landlord process. Follow the exact request and relevant local guidance.

If the recipient changes the requested referee role, update the purpose and permission fields before sending any contact details. Do not reuse an earlier consent statement for a materially different request.

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Should I tell a referee before sharing their details?

Where appropriate, confirm the purpose, contact route and likely timing so the person understands the request.

Can one referee answer every question?

Only if their actual relationship and knowledge cover those questions. It is clearer to separate roles when scopes differ.

Should I add a personal reference just in case?

Not without a stated purpose. Ask what role is requested rather than expanding the contact list.

Why not put referee details inside the rental-history timeline?

The timeline answers where and when; the referee map answers who may speak to a defined context and how.

What if a nominated referee may be unavailable?

Record the availability risk and ask the recipient about alternatives. Do not invent another person's consent or response.
