Short answer

Make overlaps and gaps visible
An overlap may reflect a move-out period, shared lease or temporary accommodation. A gap may reflect living with family, travel or another non-rental arrangement. Record the applicant's factual description; do not assign a risk score or negative label.
Check that one row's end date and the next row's start date do not create an accidental gap caused only by inconsistent formats.

When requested, point to the relevant lease, ledger, receipt or correspondence label without turning the summary into a document dump. Note where no selected record exists. Do not use an unrelated referee as a substitute for missing dates.
A fictional applicant lists a managed tenancy ending in February, six weeks staying with family, then a shared tenancy beginning in April. The middle row is labelled family accommodation rather than hidden or called a rental.
The former property manager appears only as a pointer to the separate reference summary. Their phone or email is not repeated throughout the chronology.

Create a row for every accommodation period
Use address label, city or region where needed, start month, end month, tenancy role, management type and selected record pointer. Order rows consistently. If exact days are not known, use month-level dates and mark them approximate instead of inventing precision.

Compare address spelling, period boundaries and tenancy role across the applicant's selected records. If two sources conflict, show the conflict in a private question list and resolve it from an authoritative source where possible before sharing.
Run the chronology from oldest to newest as well as newest to oldest. The reverse pass often exposes a repeated month, a missing transition or a role label that changed without explanation.
OAIC tenancy guidance explains that rental applications involve personal information and nominated referees. Follow the stated collection purpose and avoid adding household details about other people when the recipient has not asked for them.
Keep a private sent-set record with the date and recipient. If a corrected chronology is later supplied, the applicant can then identify which earlier version it replaces without sending both by accident.
