If a requested record does not exist for the break period, state that it is unavailable and ask whether the recipient wants another applicant controlled source. Do not manufacture a monthly figure, extend an old employment record or relabel a personal message as formal evidence. The alternative must be described by what it actually shows and by the period it actually covers.

Write down what the recipient has actually asked about employment, income, timing or references. Then separate that request from the applicant's concern that the break itself needs defending. The file should answer current questions with current facts. It does not need to volunteer a detailed account of health, caring, family, travel or another personal reason simply because time away from work appears in the chronology.

Define the starting point as the last confirmed work event before the break and the ending point as the first confirmed event after it. If work has not resumed, state the present position exactly as the applicant's own records support it.
