Record where each rental application document came from

A filename can tell you where a file is saved. It cannot, by itself, tell you who issued it or what you changed in your sharing copy.

Short answer

Keep a private source log with the issuer, document title, issue date, covered period, retrieval date and original location. Record any local change to a sharing copy separately. Leave unknown origins blank and ask the issuer. This log records a file’s source trail; it does not authenticate the file or decide its validity.

Working checklist

Keep a private source line for each selected file

Use a short locator rather than copying account numbers, identity numbers, passwords or an access link into the log.

  • Issuer and title: who produced the document and the title printed in it.
  • Issue date and covered period: preserve each label; record not shown if it is absent.
  • Retrieved on: when you downloaded, received or scanned the particular file.
  • Original location: a private folder locator and the source route, such as the issuer’s portal or email.
  • Local copy action: unchanged, pages extracted, renamed or another precise action actually taken.
  • Origin question: the missing issuer, title or issue date that needs checking.

Action plan

Copy and adapt: resolve an unknown source

Use this when a saved file’s title or origin is unclear. Identify the document without sending unrelated account information.

Subject: Identifying an existing document Hello [issuer or contact], I hold a file named [local filename], received or downloaded on [date]. It appears to relate to [brief purpose or period], but I cannot confirm [issuer, document title or issue date] from the file. Could you point me to the existing issued document or the place where I can retrieve it? Thank you, [Your name]

Keep the uncertainty in the log until you have checked the source. A more confident filename is not a replacement for that check.

Useful context

Separate the document’s dates from your actions

The date a record was issued, the period it covers and the date you downloaded it describe different things. Copy each from its actual source. Do not replace an unknown issue date with the day you saved the file.

Keep this log about the physical files. It does not record who confirmed an answer in your application, decide which application version is current or test whether a record has expired.

Keep in view

Keep the source trail separate from validity

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

Check the log against the original file and record each local copy action honestly. Preserve the original separately. Ask whether an excerpt or other changed copy is suitable before using it for a requested record. A source trail does not establish authenticity, expiry or acceptance.

Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord. Fill your application before you choose whether to pay for a PDF export. RentFiles helps organise the file; the agent or landlord decides the application outcome.

Practical example

Filled example: issuer, retrieval and local copy

All people, organisations, files and dates in this example are fictional. The log illustrates local record keeping and does not authenticate documents.

Priya reviews three files on 11 October 2026:

  • Employer file | Issuer: Example Services | Title: payslip | Issued: 6 October | Covered period: 21 September to 4 October | Retrieved: 9 October from the employer’s staff portal | Original locator: private income folder, payslip-6-oct-original.pdf | Local sharing copy: page 1 extracted from a three-page file; Priya labels the excerpt and checks whether the recipient needs the complete record before sharing.
  • Bank file | Issuer: Example Bank | Title: account statement | Issued: 2 October | Covered period: 1 to 30 September | Retrieved: 10 October from the bank’s portal | Original locator: private bank folder, statement-september-original.pdf | Local sharing copy: unchanged. The later retrieval date does not replace the printed issue date.
  • Applicant note | Issuer or author: Priya herself | Title: explanation note | Written: 11 October | Retrieved: not applicable; created locally | Original locator: private notes folder, explanation-note.txt | Local sharing copy: unchanged. Priya identifies it as her own explanation, not an employer-issued or bank-issued record.
  • Open question | A separate file named proof.pdf has no confirmed issuer or issue date. Priya leaves those fields unknown and asks the apparent issuer about the existing document rather than treating the filename as proof.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Can I use the download date as the issue date?

Keep them separate. Copy the printed issue date if it is shown and record the date you retrieved the file in its own field. If the issue date is missing, label it not shown rather than substituting the download date.

Does recording the issuer verify that the file is genuine?

No. The log records the source information you checked and the local actions you took. It does not authenticate a document, decide whether it is current or show that a recipient will accept it.
