Rental Passport preparation
Document workspacePassword-protected rental documents: agree access before sending
A password can turn a complete attachment into an unresolved access task. Before sending a protected rental document, agree the accepted format, the recipient and how the opening instructions will reach them.

Short answer
Ask whether the required process accepts protected PDFs. Agree an appropriate channel for the opening instructions, then test the exact protected copy you plan to send. Request authorised access for an issuer’s document instead of removing its restrictions yourself.

Useful context
Start with the access requirement
Agree whether the recipient can open a password-protected file before sending it.

Ask about the specific document and receiving process. “Can you accept this protected PDF, and how should I provide the opening instructions?” is more useful than assuming that an upload field can handle every file. If the instructions are unclear, leave the item marked “access not agreed”.
Keep the opening task separate from the application outcome. A recipient being able to view a document does not establish that the evidence is sufficient, that the document has been verified or that the application will be accepted.
Practical example
Use an access decision sheet
Record what actually happens when you open the file. The following rows guide the question to ask; they do not instruct you to change someone else’s controls. If you do not own or control the document, return to its authorised source.
For your own profile, decide whether protection fits the agreed delivery method before creating a new copy. Keep the original separately. Do not treat a password as a substitute for checking the recipient or choosing the correct attachment.
- Opening asks for a password: who is authorised to supply it, and has the recipient agreed how to receive it?
- File opens but a requested action is restricted: what action is needed, and can the owner provide an authorised alternative?
- Receiving instructions reject protected files: what accepted copy or delivery route does the recipient specify?
- Protection or ownership is unclear: pause the handoff and ask the source; do not try a removal service.

Action plan
Protect your own copy and test the saved result
For your own document, save a separate protected copy, close it and test opening it with the intended password.

On a Mac, Apple’s linked Preview instructions provide the steps for a document you own. Follow the current instructions for your installed version. Keep the new filename distinct, and avoid putting the opening password in the filename or in the document itself.
For the test, close the file and reopen the saved protected copy from its folder. Confirm that the intended password opens the intended document, then inspect its pages. A successful check on your device is only one part of the agreed handoff; it is not a recipient-access test.
Practical example
Send an access-agreement message first
Use this fictional message as a starting point: “I have a protected copy named Alex-Example-profile-2026-10-20.pdf. Does your required process accept it? If so, please confirm the intended recipient and the agreed channel for the opening instructions. I will send the file after we agree those details.”
Do not include a real password in the example message. Agree how to provide it separately where the recipient supports that arrangement. If they require another format, ask for the accepted route; do not assume that silently sending an unprotected replacement is what they requested.
If the issuer supplied a protected document, ask them for the permitted sharing method. Keep the request tied to that document and the relevant recipient rather than forwarding extra material.
Working checklist
Close the access loop
Before sending, compare the recipient, filename and agreed channel with your private note. After sending, record any confirmation that the recipient could open the intended file. If opening still fails, capture the error and return to the access agreement instead of trying progressively less controlled copies.
Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.
RentFiles helps organise the file; the agent or landlord decides the application outcome.
- The receiving process and intended recipient are confirmed.
- The saved protected copy has been closed, reopened and checked.
- The opening instructions use the agreed channel.
- Any unresolved access problem is clearly recorded.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Should I password-protect every rental attachment?
Ask about the required receiving process first. Use an accepted method for the specific document and keep access unresolved until the recipient has agreed what they can use.
Can I remove a password from a document someone sent me?
Request authorised access or an accepted replacement from the source. This guide does not provide restriction-removal or password-bypass instructions.
Does a password let me recall the file later?
Do not rely on the access-agreement worksheet for recall or control over copies. Its purpose is to check that the intended recipient can use the file through the agreed process.
