Asked for a certified copy in a rental application?

“Please send a certified copy” leaves several questions unanswered. Clarify the document, accepted certifier and process before organising an appointment or altering a file.

Short answer

Ask the recipient exactly which document needs certification, which certifier or procedure it accepts and how the completed copy should be provided. Keep its reply with the application request. Follow the relevant current official process rather than treating an ordinary scan, a signed note or a personal rental profile as the requested certified copy. This guide helps organise the request; it does not determine who is authorised to certify your document.

Useful context

Turn a broad request into a precise document task

Copy the recipient’s actual words into a private request card. Add the property reference and date so that an answer for one application is not reused automatically for another. If the request simply says “ID”, ask which document and which pages are intended before preparing more material.

The question is not how to make a scan look more formal. It is what process the recipient has requested and how you can follow it accurately. Avoid adding a stamp image, typing a certification statement yourself or describing a family member’s signature as approved certification.

Working checklist

Use this copy, certification or original comparison

This original comparison is a set of clarification questions, not a legal definition or a nationwide list of accepted formats. Use the line matching the request. If two terms appear together, ask the recipient to explain the relationship rather than choosing whichever version is easiest to send.

  • Request says “copy” or “scan”: ask whether an ordinary readable copy is sufficient, including which pages or sides are needed.
  • Request says “certified copy”: ask for the accepted certifier category, current official instructions and any required format for the completed copy.
  • Request says “original”: ask what needs to be inspected or provided, through which channel, and what the handling and return arrangements are.
  • Request is unclear: record “awaiting clarification”; do not relabel an ordinary scan as certified.

Action plan

Send a focused clarification email

Use this original message as a starting point: “For [property reference], your request asks for a certified copy of [document description]. Please confirm which pages are needed, which certifier or certification process you accept, and whether you require the completed copy in paper or electronic form. Could you send the current official instructions? Please also confirm the due date and how I should provide the result.”

Keep the reply beside a short source-to-copy map. For example, a fictional row might read: “Address record; two-page source; pages requested not yet confirmed; certifier instructions awaiting reply; outgoing copy not prepared.” Leaving those fields open is more useful than filling them from an assumption.

Once the request is clear, consult the responsible official instructions and the relevant service directly about what to bring or provide. Arrange the task around those instructions; this article does not prescribe a witnessing or certification procedure.

  1. Identify the exact source document and page count.
  2. Record the recipient’s accepted procedure and where it came from.
  3. After the process, label the resulting copy accurately and retain the request.

Keep in view

Find the relevant certification instructions

The Attorney-General’s Department says document certification and other witnessed documents fall outside the processes it regulates.

About Commonwealth statutory declarations · Checked

The Commonwealth statutory-declaration guidance is therefore not a nationwide certification manual. Ask for the instructions relevant to your actual request rather than borrowing a witness list or declaration process from another document.

If you are concerned about unnecessary information, clarify what is needed before the certification task. Do not later cover or alter marks and details on the resulting copy without checking the relevant instructions.

Working checklist

Connect the completed copy to the actual request

Check the outgoing file against your request card: document, pages, readability, recipient and delivery format. Keep an unchanged source separately. Describe the attachment by what it is, without claiming that certification proves all the underlying statements or guarantees the application outcome.

A personal rental profile and the requested copy remain separate items. RentFiles helps organise the file; the agent or landlord decides the application outcome.

  • Questions about format or scope have an answer.
  • No extra pages were selected merely because they were in the same folder.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Can I send an ordinary scan instead?

Ask the recipient. If the request specifically asks for certification, do not silently substitute a scan or label it as certified. Keep any agreement to accept a different format with that application request.

Can this guide tell me who is allowed to certify my copy?

No universal certifier list is supplied here. Obtain the accepted process for your request and consult the relevant current official instructions or service. A WA service link does not settle a request elsewhere.

Does a Rental Passport replace the requested certified copy?

Keep the supporting personal profile separate from the recipient’s document request. Ask about any proposed alternative rather than assuming that a polished profile fulfils a certification requirement.
