Situation playbook

Reconcile pay dates that do not line up neatly

A payslip period, invoice date and bank payment can all refer to the same income at different moments. Label those moments before comparing amounts. The aim is to explain timing, not to make distinct dates disappear.

Short answer

For each record, note the work or covered period, issue date and payment date where relevant. Link records that describe the same income, explain genuine delays once and remove any duplicate amount from the summary.

Useful context

Name the event behind every date

A pay-period end, document issue and account receipt are different events. Write the label beside each date. This prevents a statement received in July from being treated as separate July income when it actually pays work completed in June.

Action plan

Explain overlaps and delays

Mark periods that overlap because sources use different cycles, and distinguish a late payment from a missing work period. A short dated note is enough when the records already show the sequence. Avoid recalculating values simply to align the dates. Preserve the original cycle labels in any summary.

Working checklist

Link records that describe one payment

Use a reference row or filename relationship to connect a payslip, invoice and matching deposit. Keep the strongest primary record for the requested purpose and use the other only when it clarifies timing. Do not add both to a total. When one deposit settles several invoices, list the covered invoice identifiers once instead of repeating the deposit across every row.

Keep in view

Limit statement exposure

Provide information relevant to the recipient's application process and handle identity or financial material carefully.

Use only the pages and fields needed to show the relevant receipt where the process allows. Protect unrelated transactions and account activity, while leaving the date, source and amount required to understand the timing visible. Check the final crop.

Practical example

Example: monthly statement and fortnightly payslips

A July statement contains deposits for payslips covering 10 to 23 June and 24 June to 7 July. Theo maps each deposit to its payslip and labels the covered dates. The statement confirms receipt but does not create two additional income entries.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Which date should I use for a payslip?

Keep the pay period visible and record issue or payment dates separately when they matter. Do not replace one event with another without a label.

Does a late bank deposit mean income is missing?

Not necessarily. Trace the deposit to its covered work or invoice period and explain the timing difference if the records support that link.
