Rental document preparation
Document workspacePut dates and pay cycles beside every income figure
Weekly pay, fortnightly pay and a delayed deposit do not describe the same period automatically. A period map helps you see the original dates before making any comparison or writing an income explanation.

Short answer
Record the applicant, source, period covered, payment date, currency and gross or net basis separately. Check for overlapping records and duplicate payments. Label any calculated comparison, preserve the original figures and keep future income assumptions outside historical earnings.

Turn this guide into a clear application pack
Keep income explanations consistent with the original periods when preparing your personal profile.
Continue with the Rental application document checklist.
- Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.
- Fill your application before you choose whether to pay for a PDF export.
- RentFiles helps organise the file; the agent or landlord decides the application outcome.
Working checklist
Copy the source labels into your map
Keep the original amount, currency and gross or net basis. Record which applicant and income source each row belongs to. A combined worksheet should not make two people or two employers look like a single source.
The requested evidence window comes from the actual application process. This guide does not prescribe a number of weeks or months for every Australian application.
Action plan
Work through different pay cycles
Fictional worksheet: Theo Grant supplies the following invented records for 23 Pine Walk. The figures are illustrative inputs, not evidence that he can afford a particular rent.
- Job A payslip: 1 to 7 October; A$500 gross; weekly earning period.
- Job B payslip: 1 to 14 October; A$1,100 gross; fortnightly earning period.
- Job B bank credit: 16 October; A$910 received; may be the net payment of the same earnings, not additional income.
- Invoice issued 10 October: work period and payment status still to clarify; excluded from paid-income totals.
Useful context
Separate three kinds of date
A document can have an issue date, a period it describes and a payment date. Those dates may differ without proving that a record is wrong. Read the labels on the source instead of assigning a bank deposit to the week when it appeared.
If the pay period is missing or unclear, ask the issuer or recipient how to resolve the relevant question. Do not infer the earning period from a transfer description alone.
Keep in view
Check overlap before using a total
Look for two payslips covering the same days, a summary repeating underlying records or a bank credit corresponding to an already listed payment. Leave a row unresolved if its relationship is not established. Missing information is more useful than a falsely precise combined amount.
After the map is coherent, use a short income summary to guide the reader to the source files. If the recipient asks about variation, explain the actual periods rather than smoothing every amount into an assumed stable salary.
- Dates covered and dates paid appear in different fields.
- Every comparison says how it was calculated.
- Unconfirmed and future amounts stay clearly labelled.
Practical example
Make arithmetic and personal disclosure explicit
For the fictional Job B period, A$1,100 gross over two weeks is A$550 gross per week for comparison. Keep the original record beside that calculation. A calendar month should not silently be treated as four weeks, and a historical comparison is not guaranteed future pay.
When preparing the shared copy, include only relevant labels and selected records. OAIC guidance addresses reasonably necessary collection by agents where the Privacy Act covers them; it does not validate an income calculation or settle every evidence request.
Provide information relevant to the recipient's application process and handle identity or financial material carefully.
Questions
Common questions
Clear answers for the decisions people usually pause on.
Can I add a weekly amount directly to a fortnightly amount?
Not as though they describe the same period. Preserve both sources and label any comparison on a common basis, including the calculation and its limits.
Should a late deposit be treated as earnings for the deposit week?
Not automatically. Identify the period the payment relates to. The payment date and earning period answer different questions.
