Agree on the outgoing copy
Document workspaceWho can send each person’s rental documents?
Combining a household’s application does not mean everyone wants their personal records passed around. Agree on the specific outgoing file first.

Short answer
Before sending another applicant’s document, ask them to review the exact copy and confirm the file, purpose, property, recipient and sender. Record their actual reply in a private file-permission map. An unanswered request remains pending; a different copy or recipient needs a fresh check. Each person can keep control of their own submission.

- Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.
- Fill your application before you choose whether to pay for a PDF export.
- RentFiles helps organise the file; the agent or landlord decides the application outcome.
Working checklist
Record the scope of the agreement
A useful row identifies the outgoing copy precisely enough that it cannot be confused with an older or broader document.
- File: neutral label and version reviewed.
- Owner: the person whose record it is.
- Purpose: the specific request the copy answers.
- Scope: property and named recipient.
- Sender: who will provide that copy.
- Reply: agreed, pending or owner will send separately.
Action plan
Copy a file-specific permission request
Show the proposed copy to its owner using a method you have agreed. Ask a precise question rather than treating a shared folder as permission.
“Are you happy for me to send [file label/version], which you have reviewed, to [recipient] for our application for [property]? It answers their request for [purpose]. Please confirm whether I may send this copy or whether you prefer to provide it yourself.”
Record the reply without expanding it. If the file changes, another property is involved or the recipient asks for more information, check that new scope with the owner.
Useful context
Agree on a file, not blanket access
Start with one document the recipient has requested. The question is whether its owner agrees to that copy being sent for that purpose. It is separate from deciding who coordinates the household’s application.
Use a neutral filename or short file label in your notes. Keep passwords, identity numbers and account access out of the map. Another applicant can send their own copy through the confirmed channel instead of handing it to you.
Keep in view
Compare the outgoing files with the replies
Before sending, match each attachment to the reviewed version, named recipient and agreed sender. Keep the permission note separate from the document itself.
Provide information relevant to the recipient's application process and handle identity or financial material carefully.
This optional worksheet records a conversation between applicants. It does not verify a document, supply legal consent or show that an application was submitted.
Practical example
Filled example: two applicants, two different choices
Fictional example: Mei and Luis are applying for 18 Example Street. These invented entries illustrate a private agreement, not a consent service or legal authorisation.
- File M-01, payslip copy reviewed | Owner: Mei | Purpose: requested income record | Recipient: named agency contact for 18 Example Street | Reply: Mei agrees Luis may send M-01 only.
- File L-02, employer letter | Owner: Luis | Purpose: confirm stated employment | Same property recipient | Reply: Luis will send his own copy; Mei does not forward it.
- File M-03, older statement | Owner: Mei | No agreed outgoing purpose | Reply: pending; excluded from the proposed bundle.
Questions
Common questions
Clear answers for the decisions people usually pause on.
Does putting a file in our shared folder mean I can forward it?
Ask its owner about the exact copy and recipient. File access alone is not the clear, file-specific agreement this worksheet is designed to record.
What if the recipient asks for a different version?
Check the new copy and purpose with its owner. Do not carry a reply for one file over to another document or property.
