Employment confirmation letter for a rental application

A clear employment letter answers a specific request with facts the employer can confirm. Start by finding out what the recipient needs, then give the employer a bounded drafting prompt.

Short answer

Ask the agent which employment facts need confirmation, then ask an authorised employer contact for a dated letter addressing those facts. Keep any template marked as a draft until the employer has checked and issued it.

Useful context

Set the letter’s job before requesting it

Write down the recipient’s actual request: employment status, start date, a stated income amount or a contact for follow-up. Ask whether the letter is needed alongside other evidence and where it should go. This is a practical drafting method, not a universal letter requirement or a promise that one document replaces another.

Separate what you know from what the employer must confirm. Your personal introduction can explain that you have recently started work. Only describe an employer confirmation as issued once the appropriate person has checked and supplied it. Do not put a copied signature or invented company letterhead on your draft.

Practical example

An original email you can adapt

The following request is an original template. Replace brackets, remove anything the recipient has not asked for and use the employer’s usual process.

Subject: Employment confirmation request for rental application Hello [HR contact or manager], I am preparing a rental application for [property reference]. The agent has asked for confirmation of [specific facts requested]. Could an authorised person provide a dated letter confirming those facts from the employer’s records? If an income figure is included, please identify its period and whether it is gross or net, and distinguish any variable component. Please let me know which contact details you are comfortable providing for a relevant follow-up enquiry. I can supply the agent’s request if helpful. Thank you, [Your name]

Give a genuine deadline if one exists. If the employer cannot provide the letter in time, ask the agent what alternative material they will consider. Leave that decision with the recipient rather than describing your own substitute as automatically sufficient.

Practical example

A factual employer confirmation draft

This original template is a drafting aid for the employer, not an issued confirmation. It contains no assertion about an actual person. The employer should remove fields it cannot confirm and add only accurate information relevant to the request.

DRAFT FOR EMPLOYER REVIEW Date: [date issued] To: [recipient or property reference] With [employee name]’s permission, [employer name] confirms the following information from its records as at [date]. Role: [role title] Employment start date: [date] Current employment status: [precise status the employer can confirm] Requested income information, if supplied: [amount, currency, gross/net label and period] Variable or additional component, if relevant: [description and covered period, without a future guarantee] For a relevant enquiry about this confirmation, contact [authorised person, role and agreed business channel]. Issued by: [authorised name and role] [Employer’s own issue/signature process]

Do not turn a current status into a promise of future employment. If a figure covers only a completed pay period, keep that period attached. A letter about employment and a payslip about a particular payment have different jobs; compare their dates before writing a profile summary.

Keep in view

Keep the request proportionate

OAIC’s tenancy guidance limits an agent’s collection to information its work reasonably requires when the Privacy Act covers that agent.

Tenancy | OAIC · Checked

That guidance is conditional on coverage by the Privacy Act. It does not supply a document list for every agency. Use it as a reason to clarify an unclear request, without assuming a particular legal conclusion about your recipient.

Ask the employer to use an agreed business contact rather than adding unrelated payroll, health or personal information. Check with the recipient before changing or obscuring any copy you intend to supply, and retain the original record separately.

Working checklist

Resolve missing details before sharing

Read the issued letter beside your profile, not just for spelling. If a field is absent, ask a precise question instead of filling it in yourself.

Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.

  • Date or status unclear? Ask: “Which date does this confirmation describe, and what status can you confirm?”
  • Amount unclear? Ask: “What period does this amount cover, and is it gross or net?”
  • Variable component unclear? Ask: “Which completed period does this additional amount relate to?”
  • Contact unclear? Ask: “Who has agreed to answer a relevant follow-up, and through which business channel?”
  • Mismatch with the profile? Correct your summary or ask the issuer to correct its own letter; never alter the issued facts yourself.

Questions

Common questions

Clear answers for the decisions people usually pause on.

Does every rental application need an employment letter?

This guide does not establish a universal requirement. Follow the particular property instructions and ask what the letter is intended to confirm.

Can I write the employer’s letter myself?

You can offer a clearly marked draft. The appropriate employer contact must check and issue any confirmation you describe as coming from the employer.

What if the employer cannot provide it?

Tell the agent what is unavailable and ask what alternative evidence they will consider. Do not invent a letter or describe an unaccepted substitute as sufficient.
