How rental application approval works

Once you submit your application, several checks happen behind the scenes. Understanding the process helps you set expectations and avoid unnecessary follow-up anxiety.

1. Initial review

The agent or landlord checks that your application is complete — all fields filled, documents attached, references provided. Incomplete applications are often deprioritised immediately.

2. Reference checks

Agents contact your previous landlords, employer, and personal references. This is often the slowest step — it depends on how quickly your referees respond.

3. Credit and identity checks

Some agents run credit checks or identity verification through third-party services. This is standard practice and usually takes one to two business days.

4. Landlord decision

The agent presents shortlisted applicants to the landlord, who makes the final decision. Factors include income-to-rent ratio, rental history quality, and overall application presentation.

5. Outcome notification

You will usually hear back within a few days to a week. Some agencies notify all applicants; others only contact the successful one. If you have not heard back after a week, following up politely is reasonable.

What speeds things up

A complete, well-organised application with responsive referees. If the agent does not need to chase you for missing information, your application moves faster through the queue.

Things to keep in mind

  • • Approval timelines vary by agency, landlord, and market demand
  • • Being approved does not always mean you got the property — you may still be on a shortlist
  • • Some markets allow you to apply to multiple properties simultaneously
  • • A rejection is not always about you — landlords may have specific preferences you cannot control
