Short answer
Agree a specific task, the files the helper may see and when that permission should be checked again. Draft separately, flag unknown details and have the applicant review every factual statement and outgoing attachment. The applicant handles their own account actions, signatures and submission. A practical help note does not grant legal representation, decision-making authority or a RentFiles account-delegation feature.

Useful context
Agree the task in the renter’s own words
OAIC explains that valid consent needs an informed and voluntary decision for a current, specific purpose, by someone who can make that decision.
Consent to the handling of personal information | OAIC · Checked
Agree the scope before opening files. “Help with my application” may mean proofreading a paragraph, organising filenames or sitting beside someone while they enter details. It should not silently become permission to contact employers, share identity records or make statements for them.
If decision-making ability or legal representation is uncertain, pause and seek suitable assistance. A family relationship should not be treated as authority.
Working checklist
Use an original, narrow help note
Complete this private organising note together and revisit it when the task changes. It is not a legal instrument or a capacity assessment; do not collect a new identity scan to document it.
Fictional example: “Today, Sam may help Lee proofread the household paragraph and organise three selected filenames for this application. Sam may read the draft summary, but may not send it, contact referees or access Lee’s account. Lee will review the changes and decide what to share. We will check the arrangement again before any new task.”
- Purpose: the agreed preparation task.
- Allowed help: read, organise or suggest wording, with excluded actions stated.
- Files: the specific working copies the helper needs to see.
- Finish: when to check permission again and what to do with working copies.

Keep in view
Limit access to what the agreed task needs
OAIC’s tenancy guidance limits an agent’s collection to information its work reasonably requires when the Privacy Act covers that agent.
Tenancy | OAIC · Checked
That statement concerns agents covered by the Privacy Act, rather than settling an informal helper’s obligations. For this practical workflow, someone helping with wording may need only a summary paragraph, rather than every underlying record.
OAIC advises considering which personal details can be obscured when providing a copy of a government identity document because some details may be unnecessary.
Tenancy | OAIC · Checked
Any proposed obscuring of details should be considered against the recipient’s actual request. Do not alter an original record or automatically hide every identifier. If the helper only needs to check structure, ask whether a working draft without the sensitive attachment is enough.
Action plan
Keep suggestions separate from confirmed facts
Use an original handoff sheet with four columns in your private notes: statement, source or applicant confirmation, proposed wording, and unresolved question. Keep “unknown” visible. A helper should not fill a date gap from a guess, present an estimate as a source figure or turn a friendly reference into a formal endorsement.
If the applicant says “I started around March”, flag “exact start date to check”. Do not silently enter 1 March. Suggest clearer wording after confirmation, leaving the factual decision with the applicant.
- Read: identify the statement that needs attention.
- Draft: suggest wording without adding a new fact.
- Correct: the applicant checks names, dates, amounts and meaning.
- Handoff: retain unresolved questions for the applicant to clarify.
Working checklist
Review the finished copy together
Open the outgoing copy. Ask the applicant to read or hear each section in a suitable way and explain its meaning. Check household details, periods and reference contacts; a polished layout does not resolve an uncertain statement.
Keep account passwords, one-time codes and signatures with the applicant. A helper can point out a question or prepare an offline note without signing in as someone else. Do not treat this guide’s help note as permission to bypass an account’s rules or act as a legal representative.
- Facts: applicant confirms each statement or leaves it unresolved.
- Files: applicant checks the exact attachments and destination.
- Scope: ask again if the help now includes a new action or recipient.
Key points
Let the applicant make the final handoff
The applicant chooses the reviewed copy and follows the required application process. Agree what happens to working notes; deleting one copy does not establish that backups or attachments are gone. Check permission again for a later task.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Can a relative give permission on the renter’s behalf?
Do not assume that being related establishes authority. This guide covers help agreed with the applicant. If someone needs representation or support making a decision, seek appropriate advice about that situation.
May the helper send the finished profile?
This workflow keeps the final sharing step with the applicant. If another arrangement is needed, clarify the actual authority and the recipient’s process separately; the help note does not establish legal representation or account delegation.
What if the renter wants the help to stop?
Stop the agreed activity and discuss what should happen to working copies. Record any unfinished questions for the applicant. Do not keep sharing material because an earlier, narrower task was permitted.
