Rental Passport preparation
Document workspaceMake a rental profile PDF easier to read with assistive technology
A rental profile can look clear on screen while being difficult to navigate or read in another way. Review the text and its sequence as well as the page image, then agree an alternative format if the recipient needs one.

Short answer
Start with the editable source where you have it. Check visible text, copied text and reading order separately, and ask the recipient about any format they need. A successful text search or an export option alone is not an accessibility assessment.

Useful context
Define the reading task before changing the file
A readable page image, searchable text and a useful reading order are different checks.
Create and verify PDF accessibility, Acrobat Pro | Adobe Acrobat · Checked
Use three questions for a rental profile: can a person read the details, can they locate a particular detail, and does the sequence still make sense when the layout is not visible? A two-column employment summary is a useful place to start because the dates need to stay with the correct role.
Treat this as a preparation check. It does not establish PDF/UA conformance or show how any particular assistive technology will handle the file. If the recipient has a specific need, ask about that need before spending time changing the presentation.
Action plan
Work from the editable source when possible
If you have the editable Writer source, run its Accessibility Check before exporting.
Accessibility Check · Checked
When exporting an editable source in LibreOffice, PDF/UA enables tagged output; the result still needs a reading check.
Universal Accessibility (PDF Export) · Checked
For a profile you wrote yourself, check that section headings describe the information below them. Prefer a straightforward sequence: applicant details, household context, employment, residential history and references. Keep each label close to its value. If a table becomes confusing when read row by row, consider a short labelled list in your own source document.
For an issuer’s document, ask for an available text-based or alternative version rather than recreating the evidence yourself. Keep the supplied original.

Practical example
Use a visible-text, copied-text and sequence worksheet
The following example is fictional. Write three columns in a note: what the page shows, what copying produces, and what comes next. Try the same checks on your final file. Use a private note for real details and remove the copied material when you finish.
A mismatch belongs in the check log. For your own profile, return to the editable source and export another copy. For supplied evidence, request a better version or explain the reading difficulty; do not rewrite the evidence to make the test pass.
- Name row: visible “Alex Example”; copied “Alex Example”; sequence keeps the “Applicant name” label with that value.
- Pay-period row: visible “1 to 14 September 2026”; copied text preserves both dates; sequence places the period before its corresponding amount.
- Employment row: the role, employer and start date stay together when you read the copied text without the page layout.
- Unresolved row: record the page, the mismatch and the action, such as requesting the issuer’s original electronic document.
Keep in view
Agree an alternative that the recipient can use
If the check leaves a difficulty, describe the task that fails rather than labelling the whole document accessible or inaccessible. For example: “The employment table is clear visually, but the copied dates appear after the next employer. Would a plain-text version of my profile help?”
Agree the channel and scope before sending another version. A short text profile can explain information you authored; it should not silently replace a payslip, identity document or other supplied evidence. Share only the material needed for the agreed task.
Working checklist
Review the exact final copy
Reopen the file you intend to send. Repeat one name search, one copied date range and the sequence check across a page break. Note any remaining limitation in the accompanying message. These manual checks are useful evidence of your preparation, not a formal accessibility audit or a test of every reading tool.
Create a personal rental profile, delivered as a shareable PDF, to complement the process required by the agent or landlord.
RentFiles helps organise the file; the agent or landlord decides the application outcome.
- Final filename and date match the copy you checked.
- Names, dates and amounts remain accurate after export.
- Any requested alternative format and its delivery channel are agreed.

Questions
Common questions
Clear answers for the decisions people usually pause on.
If I can search the PDF, is it accessible?
A search is one useful check. Also check the sequence of the text and whether labels stay with their values. Do not treat a successful search as proof of accessibility.
Do I need Acrobat Pro to use this worksheet?
No. The worksheet starts with reading, searching and copying in a reader you already use. If you have an editable Writer document, its accessibility checks are another preparation option. Adobe’s cited accessibility tooling is described for Acrobat Pro.
Does this guide certify a RentFiles PDF?
No. It gives you checks to apply to the actual copy you plan to share. It does not report a RentFiles export audit, PDF/UA conformance assessment or assistive technology test.
